Weekly Scheduling Board

DRAFT · unverified

Template: Weekly Scheduling Board (Mechanical + Instrumentation & Electrical (I&E)) Version: v0.1 (DRAFT) Date: October 25, 2026 Publisher: The Planner's Bench Status: DRAFT. All technical content is Unverified until the owner signs off (Playbook DRAFT v0.2, rule 2). Employer rule (Playbook v0.2, rule 6) applied: public sources only. Files: weekly-scheduling-board.csv (the board) and this README.

Purpose

Use this board to build next week's maintenance schedule from ready work, check it against each craft's available hours, and track what actually got done. It works alongside your order and operation list in SAP Plant Maintenance (SAP PM). It doesn't replace it.

How to use

Before you start: open the CSV (comma-separated values) file in Excel or Google Sheets, and delete the "Header note" rows at the top before you sort or import.

  1. Set capacity first. For each work center (craft), enter the hours available next week after leave, training, standing commitments and an allowance for break-ins. The allowance is your site's call TBD: owner to supply guidance.
  2. Pull ready work. From your order and operation list (e.g., IW37N), pull only operations that meet your site's "ready to schedule" definition: planned, parts available or arriving in time, permits understood, equipment release agreed.
  3. Load the board. Add one row per operation. Load each work center up to its available hours, in priority order. [S17] [S18] describe loading a weekly schedule to the available hours Unverified.
  4. Coordinate crafts. For multi-craft jobs, set the day and the handoff order (e.g., Electrical isolates → Mechanical works → Instrumentation & Electrical (I&E) checks → Electrical restores). Confirm the sequence your site uses.
  5. Freeze and share. Review the board with supervisors and Operations at your site's scheduling meeting, then freeze it. Supervisors assign people day by day.
  6. Track the week. Mark break-ins in their own rows (Break-in = Yes). At week end, fill in Completed and Actual hours from confirmations (e.g., IW41, IW47).
  7. Review. Compare scheduled vs completed work. Schedule compliance definitions vary by site. [S20] discusses the difference between due-date compliance and schedule compliance Unverified.
  8. Your site's procedures, permit rules and management of change (MOC) process override this template.

Summary rows (add below the board, or calculate in your sheet):

  • Loaded hours vs available hours per work center: sum of Planned hrs for that work center ÷ its Available hrs. Shows over- or under-loading before you freeze.
  • Scheduled work completed: sum of Planned hrs on scheduled (non-break-in) rows marked Completed ÷ sum of Planned hrs on all scheduled rows. Check the definition your site uses [S20] Unverified.

Craft notes: Mechanical work often depends on scaffold, rigging and Operations draining and flushing equipment, so dependencies matter more. I&E work often depends on bypass authorization, electrical isolation by an authorized person, and calibration equipment. Instrumentation and Electrical usually have separate work centers. Schedule them as separate crafts.

Worked example

weekly-scheduling-board.csv contains rows labeled "Example data": capacity rows for three fictional work centers and a small mix of Mechanical, I&E and multi-craft operations, including one break-in. "SIF" in the examples means safety instrumented function. All numbers (hours, order numbers, tags) are fictional and illustrative, not benchmarks.
