Task List Template

DRAFT · unverified

Template: Task List Template (Mechanical + Instrumentation & Electrical (I&E)) Version: v0.1 (DRAFT) Date: October 25, 2026 Publisher: The Planner's Bench Status: DRAFT. All technical content is Unverified until the owner signs off (Playbook DRAFT v0.2, rule 2). Employer rule (Playbook v0.2, rule 6) applied: public sources only. Files: task-list-template.csv (the sheet) and this README.

Source keys: [S#] and [map X] are public sources, listed with their URLs under Sources at the end.

Purpose

Use this sheet to draft or review a preventive maintenance (PM) task list before you build or change it in SAP Plant Maintenance (SAP PM). It puts every operation, its work center, duration, package, parts and readings on one page so you, the supervisor and the craft can review it before it goes into the system.

How to use

  1. Open task-list-template.csv (comma-separated values) in Excel or Google Sheets. Delete the "Header note" rows at the top before you sort or import. Delete the rows marked "Example data" when you start your own list, or keep them on a separate tab for reference.
  2. Fill in the header fields once per task list (columns A–I). Repeat them on every row so the sheet can be filtered and sorted.
  3. Add one row per operation. Number operations in steps the way your site does (the example uses 0010, 0020).
  4. Write the operation text so a technician knows what to check, the limit, and what to record. Avoid "inspect as required."
  5. For strategy plans, assign each operation to a maintenance package (e.g., 1M, 3M, 6M). For single-cycle plans, leave the package blank and put the cycle in the header.
  6. List components that are always needed for that operation. Check them against the equipment bill of materials (BOM).
  7. Fill in the "Interval source" column for every safety-critical or regulatory operation (e.g., safety instrumented system (SIS) proof tests). The interval comes from the requirement, not from habit.
  8. Review the sheet with the supervisor and a craft representative, then build or change the task list in SAP PM using the transactions in the Fields table.
  9. Your site's configuration, procedures, permit rules and management of change (MOC) process override this template.

Craft notes: Our transaction reference pairs strategy and multiple counter plans (IP42, IP43) mostly with Mechanical work, such as pump packages or run hours, and single-cycle plans (IP41) mostly with I&E (Instrumentation & Electrical) work, such as fixed-interval calibration [map F] Unverified. Your site may differ. Mechanical rows usually carry more components (seals, bearings, gaskets). I&E rows usually carry as-found/as-left readings, calibration equipment, and bypass or electrical isolation notes.

Worked example

task-list-template.csv contains two example task lists, both labeled "Example data" in column A:

  • Mechanical: an equipment task list for a fictional centrifugal pump (P-0000A) on a strategy plan with 1M/3M/6M packages.
  • I&E: an equipment task list for a fictional pressure transmitter (PT-0000) in a safety instrumented function, on a single-cycle plan.

Equipment numbers, material numbers, work centers, durations and intervals in the examples are fictional and illustrative. They are not recommendations Unverified. Pump-specific details have no public source and are illustrative only Unverified.

Confidentiality

Everything in this template is built from public sources (listed below) and general industry knowledge. It contains no employer or client documents, procedures, data, equipment tags, site names or branding. Equipment numbers, work centers and plant codes in the examples are made up. [EMPLOYER REVIEW: owner to check that the column layout, operation wording and example structure don't mirror any employer's internal task list standard.]
